Reporting to: Regional Finance Director
Job Description:
This role is based in our Izmir Office and will work closely with the Istanbul office receptionist, as VF Turkey operates from two main offices. These two roles will support each other in daily tasks and ensure consistency in office standards and service quality across both locations.
Key Responsibilities:
· Oversee the daily operations of the Izmir office and ensure everything runs smoothly.
· Supervise support staff such as the office boy and cleaning team.
· Work in close partnership with the Istanbul office receptionist to align on procedures, share responsibilities when needed, and ensure mutual support between both offices.
· Demonstrate maturity, responsibility, and strong interpersonal skills to manage this collaboration effectively and represent the Izmir office professionally.
· Keep the reception and common areas clean, organized, and aligned with company standards.
· Follow up on health and life insurance documents and organize related briefings.
· Communicate announcements, policy updates, and other key information to office staff.
· Make travel arrangements for employees and manage related expenses and reports.
· Organize calendars, meetings, calls, and travel bookings.
· Support with basic filing, record keeping, and data management.
· Coordinate with external vendors and support budget tracking for office needs.
· Coordinate office meetings, employee events, and internal activities.
· Maintain office supplies and equipment, ensuring everything is in place and working.
· Handle incoming customer complaint calls and inform relevant departments (such as Customer Service and Sales).
· Manage phone and email communication professionally and efficiently.
· Greet and assist visitors in person or over the phone.
Qualifications
· University graduate with basic office skills.
· Min 10 years of experience in office coordination, administration, or a similar role.
· Fluency in English both written and spoken is a must
· Advanced computer skills on MS Office
· Knowledge of administrative procedures.
· Knowledge of consumer service practices and principles.
· Strong Telecommunication & Verbal & Listening Skills.
· Positive, service-oriented, and professional attitude.
· Strong sense of responsibility and reliability.
