We are looking for an Academic and Administrative Coordinator for the Office of Vice President for Academic Affairs with the following qualifications:
Qualifications:
· Bachelor’s degree
· Preferably, +5 years of experience in a similar position
· Excellence in MS Office applications (especially Excel, Word, and PowerPoint)
· Strong analytical skills in data handling and reporting
· Preferably experienced in SAP and budget planning
· Excellent verbal and written communication skills in both Turkish and English
· High level of confidentiality, discretion, and professionalism in handling sensitive academic and administrative matters
· Positive attitude, proactive approach, and solution-oriented mindset
· Detail-oriented, well-organized, and capable of managing multiple tasks efficiently
· Strong sense of urgency and efficiency in task completion
· Highly skilled in building strong professional relationships and working collaboratively across departments
· Ability to manage complex workloads and meet deadlines effectively
Main Responsibilities:
· Organizing and managing the Vice President’s agenda
· Handling executive and official communication with external institutions
· Ensuring communication and coordination between the Vice President for Academic Affairs (VPAA) and other university units
· Coordinating, organizing, and managing academic correspondence between colleges and the VPAA, as well as between the VPAA and the President’s Office. This includes, but is not limited to:
o Faculty appointment, reappointment, and promotion processes
o Sabbatical leaves, leave of absence, and academic visits
o Recruitment committee announcements
· Coordinating the Summer Visiting Scholar Program, meetings, and academic events
· Preparing and submitting faculty appointment and promotion files to the University Executive Council
· Preparing and submitting faculty appointment and promotion files for inclusion in the Board of Trustees' agenda
· Ensuring compliance with YÖK regulations and the university’s internal academic procedures
· Preparing administrative appointment letters for faculty members and notifying relevant units about expiring terms
· Coordinating with faculties for newly appointed faculty positions and ensuring the necessary announcements are published in compliance with regulations
· Reporting VPAA activities for the yearly activity report
· Organizing the new faculty orientation program
· Attending meetings with the VPAA, preparing and sharing the meeting notes with the relevant parties.
· Supporting the VPAA in budget planning, SAP entries, and budget reporting
· Assisting the Vice President with advanced administrative tasks
· Performing general office duties, such as ordering supplies, maintaining records, and managing database systems
· Handling confidential academic and administrative documents and communications with the utmost discretion
· Performing any other administrative or coordination tasks assigned by the Vice President
