We are looking for a “Assistant for Factory Manager” in Hitachi Energy a with below qualifications.


Location of the role is Kartal, however the factory will be moved to Dilovası in 10 months. Please consider this relocation when applying.


How You Will Make an Impact

  • Provide proactive executive secretarial support to the Factory Manager, including documentation of internal management meetings, taking notes, tracking decisions and actions, and updating records in relevant systems.

  • Coordinate and manage all aspects of internal and external meeting arrangements (e.g., welcoming guests, organizing catering, booking hotel rooms and restaurants, ensuring smooth meeting experiences).

  • Oversee visitor reception and hospitality, ensuring a professional and welcoming environment.

  • Manage data entry and track various documentation workflows

  • Act as a communication bridge between the Factory Manager and relevant internal/external stakeholders by providing timely reminders and follow-ups.

  • Organize and maintain Microsoft Teams groups, folders, and documentation structures; assist with QDMS records and quality document workflows.

  • Support travel planning and expense reporting processes.

  • Handle confidential and sensitive information with discretion and professionalism.


Your Background:

  • Min Associate Degree, (Bachelor’s degree is preferred) from Management, Economics, Social Sciences, MIS or related departments.

  • Proven experience in a similar executive assistant, office coordination, or administrative role, preferably in a manufacturing or industrial environment.

  • Adapting to relocation: The company will move to Dilovası, Gebze in one year

  • Strong proficiency in Microsoft Office tools (Excel, Word, Outlook, Teams, PowerPoint).

  • Working knowledge of systems such as QDMS or other document management systems is a plus.

  • Excellent organizational, communication, and time management skills.

  • Strong attention to detail and ability to prioritize multiple tasks.

  • Fluent in Turkish with spoken and written English proficiency; able to communicate confidently in international business environments.

  • Proactive and solution-oriented mindset, comfortable working both independently and as part of a team.
